Xerox Workcentre 4150 having problems setting up Scan to Email
II have been trying to set up the Scan to Email function for weeks (on and off), to no avail. On the Config report, Email says Installed/Enabled, the SMTP Server IP Address says 192.168.1.107, and the Default Email Address field says [email protected], which is definitely a valid email address. When I try to scan something to send an email, it keeps printing these email confirmation reports that say Failed, and in my computer browser when I typed in the IP address for our Workcentre 4150, under the Alerts option, it says Error 15-320, saying there is a problem with the SMTP server. I think the problem might have something to do with the Properties setup I did. Under Connectivity, Protocols, and TCP/IP, I have no idea what I SHOULD be putting for the Host Name or the Domain Name. I've tried a few different options for both, but because I have no idea what these are supposed to be, it's likely that this is where my problem is coming from. I'm relatively technically savvy (it's just the terminology here that I'm lost on), and should be able to take instruction on this issue rather easily.
Another possible problem is that a friend mentioned that I can't use an email address to send from that is already in use. Is this true, should I just make a generic Hotmail account or something to solve this part of my problem?

Print a Configuration Report. See the Related Items below for additional information.
The following fields should be set as indicated for scan to e-mail to be properly enabled and set up:
Under the Installed Options section, Email field: Installed / Enabled
Under SMTP Setting section, SMTP Host Name or SMTP Server IP Address field requires a valid entry.
Under SMTP Setting section, Default E-mail Address field requires a valid entry.
If the WorkCentre is a network connected configuration, it will
arrive with the E-mail service enabled. The copier-only model is not
network connected and cannot perform Scan to E-mail. NOTE: E-mail is enabled at factory, by default. If
the E-mail button is not available on the All Services screen, enable
E-mail in the Tools mode. Before starting the setup procedure, make sure the following items are available or have been performed:
Make sure the WorkCentre is fully functioning on the network. See the Related Items below for additional information.
E-mail service must be available (enabled).
NOTE: E-mail is available by default.
Make sure the TCP/IP protocol is set up and the HTTP protocol is
enabled on the WorkCentre; both protocols must be fully functional.
Obtain the IP Address of a functional SMTP mail server that accepts
inbound mail traffic. See your Network Administrator for additional
assistance.
Make sure the DNS settings are configured correctly and obtain the
Domain Name address, if applicable. See your Network Administrator for
additional assistance.
Create an E-mail account which the WorkCentre will use as the default 'From' address.
Test the E-mail account by sending an E-mail to the WorkCentre
account. This task should be completed at a mail client on your network
that supports SMTP.
To access E-mail settings using Internet Services from a web browser window:
From a computer, open the CentreWare Internet Services (CWIS) window. See the Related Items below for additional information. The main CentreWare Internet Services window will be displayed.
Click [Properties], click [Connectivity], click [Protocols], and then click [TCP/IP].
Enter the Domain Name in the Domain Name field. For example, type: [email protected] in the field.
NOTE: It is only necessary to configure the DNS settings if Host Names are to be used.
If
Dynamic Addressing has been set on the WorkCentre (DHCP or BootP) the
Domain Name will not be accessible. To be able to access the Domain
Name, select [Static] from the IP Address Resolution menu list.
Scroll to the bottom of the window and click the [Apply] button to implement any modifications.
When prompted, enter the current Tools mode information in the Username and Password fields.
NOTE: The default Username is 'admin' and Password is '1111'.
Select [SMTP Server] from under the Internet Services Protocols section.
Select either [IP Address] or [Host Name] and then enter the Host
Name, or the IP Address and Port Number (1 - 65535) of the SMTP Server.
The default Port is 25.
Place a check mark in the Server Requires SMTP Authentication check box if required.
Enter the Login Name and Password.
Click on the [Properties] tab. The Properties window will be displayed.
Click [Services], click [E-mail Settings], then click [E-mail
Setup]. The E-mail Setup window will be displayed with the following
list of options:

EIther you have to enter the Fax User memory, Or the memory battery has failed and needs replaced.
Here is what the service documentation says.
(4150) During a power-off period, the machine has lost its user memory. Check that the backup battery, PL 1.10 Item 5 is holding its charge of about +3V. If necessary, install a new battery, PL 1.10 Item 5.
the problem is in the scanner, open it up and see if you can find any smudges, and clean any obstruction, any ink, liquid eraser residuals, can cause this part to appear as lines on your copied faxed image.

I would check your software version. Several of the older versions had a lot of LDAP problems. You can print out a system report and find your Firmware level, then go to Xerox.com, go to Drivers and Downloads and see what the new version. Current firmware level is 10.100.46.000 . follow the instructions.
I need more information, like is it scanning using the SMB protocol or FTP. Are you using active directory, etc. Usually, when they just quit, it is due to a Microsoft security patch, or a software firewall having been enabled. If you're sure that it is neither of the above, try browsing to the Xerox via the IP address, go to the properties tab, services, network scanning, file repository set-up, and see if the login name used for network scanning is qualified: (i.e. - domain\username) Often, in a business environment, that will help.
Hi, No, I have resolved the issue with Xerox tech support. FYI, in case anyone runs in to the same issue as I had. I updated the firmware image and the setting can be set or modified via the web console under Email settings.
Have you updated the machine firmware? At Xerox.com the machine firmware is there to download and install. Currently the firmeware is at level 10.100.45.018. Even if your machine is new you may have an older version of firmware. That machine has had tons of firmware updates to it and uploading the machine to the newest level probably will resolve your problem.
There are some versions that fix 300 known problems at an update.
You have to follow the directions carefully, updating it can wipe out your LDAP settings if you use scan to E-mail etc.
If you have a maintenance agreement, or the machine is less than a year old, ( there is a one year on site warrantee on that machine for on site service) call 1-800-821-2797 and request a service call to update your firmware.
Those updates are really critical for that machine to operate properly.

You shold call and have the firmware updated on that machine.
There are several firmware updates to the 4150 that resolve a lot of problems with the machine/.
